How to Get Better Occupancy on Vrbo (and the Best Pricing Software for Vrbo Hosts)
A how-to for Vrbo hosts, a short software table with sources and dates, and an honest note on what we can and cannot say about Vrbo.
QUICK ANSWER
To get better occupancy on Vrbo, find what is blocking the nights before you cut price: compare your rate to a set of 10 to 15 comparable Vrbo listings, shorten minimum stays on the gaps, add weekly and monthly discounts, and set rates by date instead of one flat number. For software, PriceLabs, Wheelhouse and Hospitable are the three in the table below, with prices read from each vendor’s own page on October 11, 2026. We have no Vrbo-specific results of our own to publish.
Key Takeaways
- Empty Vrbo nights usually come from a rule or a visibility gap before they come from price. Check minimum stay and calendar settings first.
- Judge the listing on profit and RevPAR, not on fill rate alone. A full calendar at a low rate is often the underpriced one.
- According to Vrbo’s rates help page, Vrbo’s own rate settings support a base rate, day-of-week rates, weekly and monthly discounts and date overrides, all of which you can use without any software (checked October 12, 2026).
- Software earns its cost when you hold several listings or channels. For one listing in a market you know, Vrbo’s free tools and a spreadsheet are enough to start.
- We publish no Vrbo share or Vrbo result for RevFactor’s 322 listings. The numbers we cite are from the whole portfolio and are labeled that way.
I am Federico, and I run revenue for RevFactor. Vrbo hosts ask me the same thing as Airbnb hosts: why are these dates empty, and is a lower price the answer? Usually it is not. This guide gives you the order I check things in, the settings Vrbo itself documents, and a short software table so you can see what the tools cost before you talk to anyone.
One honest limit up front. RevFactor has not broken its results out by channel, so we have no Vrbo booking share or Vrbo-versus-Airbnb gap to put in front of you. Everything below rests on Vrbo’s own help pages, vendor pages read on October 11, 2026 and the same method we use on every listing. If you want that method in full, start with revenue management for short-term rentals. To compare providers before you hire help, see the best STR revenue management companies of 2026.
Six Moves That Lift Vrbo Occupancy
Find what is blocking the empty nights, then remove it. Price is one of four suspects, and it is the one that costs the most to get wrong.
Work through them in this order:
- Compare your rate to a comp set. Airbnb’s guidance, which applies the same habit on any channel, tells hosts to compare similar nearby listings over a range of up to 31 days, per Airbnb’s Resource Center (checked October 12, 2026). Pick 10 to 15 Vrbo listings a guest would weigh against yours: same area, bedrooms, sleeps count and amenities. If your rate for the empty dates is above their median, price is a candidate. If it is at or below, stop looking at price. The set-building steps are in the comp-set guide.
- Look at minimum stay on the empty dates. A 5-night minimum that sits between two bookings leaves a 3-night hole nobody can fill. Shorten the minimum on those gaps. According to PriceLabs’ help center, PriceLabs’ orphan-gap rule sets the minimum stay to match the length of the gap (checked October 12, 2026). The pattern is explained in the orphan nights guide.
- Use the discounts Vrbo gives you. According to Vrbo’s rates help page, read October 11 and again October 14, 2026, you can offer extended stay discounts for weekly (7 or more nights) and monthly (28 or more nights) stays, and you can override the base rate or the discount for specific dates in your calendar.
- Set rates by date and by day of week. According to Vrbo’s rates help page, “your base rate can be a single, consistent price for all nights, or you can customize it by day of the week” (checked October 12, 2026). A single flat number leaves money on weekends and sells the quiet weeks too high. Airbnb’s Resource Center gives the same advice for its platform: consider weekday and weekend pricing (checked October 12, 2026).
- Price a new listing to earn reviews. According to Hospitable’s Vrbo pricing guide, read October 11 and again October 14, 2026, “consider pricing your property 15-20% lower than your competitors to get your first bookings and some positive reviews.” Treat that as a vendor suggestion, and raise the rate once reviews arrive.
- Check the listing itself. If views are low, the fix is photos, title and amenities, not rate. If views are healthy and bookings are not, rate or rules are the cause.
Change one setting at a time and give it a full booking window before you judge it. Vrbo’s rates help page says you can override the base rate or discounts for specific dates without changing your default settings (checked October 12, 2026), which makes a one-setting test easy to undo. Two changes in one week tell you nothing about which one worked.
How to Raise Your Vrbo RevPAR
Raise revenue per available night, not fill rate. According to PriceLabs’ orphan gaps guide, gap-filling discounts can raise occupancy while lowering revenue, so track RevPAR alongside it (checked October 14, 2026). Occupancy is half of the picture: a calendar booked solid at a low rate can earn less than one booked 70% of the time at a higher rate.
Track three numbers together, per listing, against the comp set:
- ADR, the average rate on nights that booked.
- Occupancy, booked nights over available nights.
- RevPAR, ADR multiplied by occupancy, which is revenue per available night. The ADR vs. RevPAR guide walks through it.
Then go after the levers that add revenue without cutting rate. Across RevFactor’s 322 managed listings, the average orphan night rate fell from 25.0% to 11.9% under management, and the portfolio runs +24% RevPAR against the submarket comp set on a 24-month rolling average, according to RevFactor’s 2026 benchmarks. Those figures are for the whole portfolio, not for Vrbo. They show that unsold gap nights are recoverable, and the same minimum-stay logic applies on any channel. The full set is in RevFactor’s 2026 benchmarks.
Two cautions. A fully booked calendar far in advance usually means you were cheap, so check the comp set before celebrating. And a discount that fills a night you would have sold anyway is a cost, not a gain. If you want the diagnostic for either case, the underpriced or overpriced check runs in an afternoon.
Who Can Manage Revenue for My Vrbo Property?
Three kinds of help exist, and which one fits depends on how many listings you have and how much of the weekly work you want to keep.
| Option | What it is | Price on its own page | Vrbo stated on the page | Checked |
|---|---|---|---|---|
| Do it yourself with Vrbo’s tools | Base rate, discounts, date overrides, MarketMaker | Not published on the pages read | Native to Vrbo | Oct 11, 2026 |
| A pricing tool | Software sets the nightly rate on rules you choose | See the table in the next section | Varies by tool | Oct 11, 2026 |
| A revenue manager | A person sets rates and rules and watches pacing weekly | See below | Varies by company | Oct 11, 2026 |
For the third row, here is what three providers print:
- According to its revenue management page, Revenuenaire runs revenue management for Airbnb, Vrbo and Booking.com, from $225 a month (checked October 12, 2026).
- According to its pricing page, Hostlyft has a dedicated revenue manager who prices every listing across Airbnb, Booking.com and VRBO, from €35 to €120 per unit per month depending on portfolio size, with no setup fee and no long contract.
- RevFactor is the service we run, so weigh this entry knowing that. It works as a co-host inside your own Airbnb and PriceLabs accounts for $350 per property per month plus a $150 one-time onboarding fee per property. revfactor.io does not state Vrbo or Booking.com support, so confirm it with us before you assume it. The pricing strategy page lays out the engagement.
If you run one or two listings in a market you know, you can do this yourself. If you run five or more across channels and the weekly work is the problem, a person is worth pricing. Is a pricing tool enough covers the decisions software does not make.
Comparing Vrbo Pricing Software
There is no single best one, and this table does not rank them. It shows what each vendor prints about price and Vrbo, so you can compare on facts. Prices are for one listing in the United States unless noted.
| Tool | Price for one listing | Vrbo stated on its own page | Source and checked-on date |
|---|---|---|---|
| PriceLabs | $19.99 per listing per month, or 1% of booking revenue; 30-day free trial | ”Syncs directly with Airbnb, Booking.com, VRBO and 160+ PMSs” | hello.pricelabs.co/plans and homepage, Oct 11, 2026 |
| Wheelhouse | Pro Flat $19.99 per listing per month; Pro Flex 1% of revenue with a $2.99 monthly minimum | Not named on the integrations page, which lists Airbnb as the channel and property management systems | usewheelhouse.com/pricing and /integrations, Oct 11, 2026 |
| Hospitable | Host plan $29 per month billed monthly or $25.52 billed annually, with dynamic pricing; free Essentials plan without pricing; 14-day trial | ”Airbnb, Vrbo, Booking.com, Agoda sync” on every plan | hospitable.com/pricing, checked October 21, 2026 |
| Vrbo Rate Automation (in MarketMaker) | Not published on the pages read; Hospitable’s guide calls MarketMaker free | Vrbo listings only | Hospitable’s Vrbo pricing guide, Oct 11, 2026 (Vrbo’s own page blocked automated reading) |
How to read it:
- Channels. If Vrbo is a large share of your bookings, PriceLabs and Hospitable are the two here that print Vrbo sync on their own pages (PriceLabs lists “Vrbo Hosts” under Solutions, and Hospitable lists “Airbnb, Vrbo, Booking.com, Agoda sync” on its Essentials plan, checked October 12, 2026). Wheelhouse may support it through your property management system, but its page did not say so, so ask.
- Price. The three paid tools sit close together for a single listing. The difference shows up at portfolio size and in what the base plan includes, so check your own listing count on each page.
- Free option. If you only list on Vrbo, Rate Automation costs nothing to try. Its limit is that it prices Vrbo and nothing else, per Hospitable’s Vrbo pricing guide, which also says hosts can set minimum and maximum rate limits and exclude dates they want to price manually (checked October 12, 2026).
- What none of them do. A tool runs the rules you give it. According to PriceLabs’ help center, PriceLabs’ day-of-week and other customizations are applied on top of its default recommendations, not in place of them (checked October 12, 2026). Even the free option works on a schedule: according to Hospitable’s Vrbo pricing guide, Vrbo’s Rate Automation adjusts rates every 48 hours (checked October 14, 2026). Someone still has to choose the minimum stays, the discounts and the comp set. That is the work in the first section of this guide.
AirDNA Adapt belongs in the same software column as PriceLabs and Wheelhouse: it is a pricing tool you run yourself, built on AirDNA’s market data, and its pricing page lists the current plan. A done-for-you service differs because a person owns the rules the tool follows. The pricing tools ranking scores all three side by side.
The wider comparison, with scored criteria and every price sourced, is in the best Airbnb pricing tools list. That list scores the tools on Airbnb-first criteria, so use it for depth and this table for the Vrbo question. For a scored ranking that weights Vrbo sync as its own criterion, see the best Vrbo pricing software guide.
What Should I Do Next?
Run the comp-set comparison on your three emptiest weeks this week. Then change one thing, minimum stay or a weekly discount, and check the result after a full booking window. If you want software, trial the one whose page prints your channel and compare it with what you did by hand.
If you would rather hand the weekly work to a person, start with the pricing strategy page and ask about Vrbo support directly.
